Booking, Changes, and Cancellations All bookings, changes, and cancellations must be submitted in writing. To ensure consistency and quality of our events, all bookings must be confirmed in writing by us (either by one of the hotels or 62°NORD) before further information can be sent to participants.
Group Bookings For group reservations, the following details must be provided in writing to the hotel and/or 62°NORD at least 3 weeks before the event:
If you wish to increase the number of rooms or participants, this must be agreed upon and confirmed by the hotel no later than 3 weeks before the event.
Payment Terms A valid credit card is required to secure your booking. If you wish to pay by invoice, this must be arranged and agreed upon before signing the contract. Full payment for all confirmed overnight stays must be received no later than 30 days before arrival.
No-Show Policy If you do not arrive as scheduled (a "no-show"), you will be charged 100% of the total amount for all confirmed rooms and any booked boat trips or activities.
Buy Out When a booking accounts for 80% or more of a hotel's total capacity, the hotel reserves the right to require that the entire hotel be booked. All buy-out reservations require a deposit 6 months before the arrival date. The deposit amount depends on the scope of the buy-out. This deposit is non-refundable. Full payment for confirmed overnight stays, food, and activities must be in place 30 days before arrival.
Reduction of Meals Any reduction or cancellation of meals notified less than 3 weeks before the event will be billed at full cost. All changes to meals must be submitted in writing to the hotel.
Check-In and Check-Out Check-in time is between 4:00 PM and 6:00 PM; check-in after 6:00 PM must be arranged in advance. Check-out is no later than 12:00 PM; late check-out must be arranged in advance. Please note that all rooms are non-smoking — please use designated smoking areas.
Damage The organizer (customer) is financially responsible for any damage to hotel rooms, fixtures, or other equipment caused by guests.
Force Majeure In the event of circumstances beyond our control — such as strikes, fires, extreme weather, or other events that prevent a stay or activity from taking place — we reserve the right to cancel without liability for compensation. In general, bad weather is considered a normal occurrence and does not entitle the customer to cancel or modify a booking.
Insurance We recommend that all guests take out cancellation insurance to cover themselves in the event of cancellation due to illness. We also recommend that all guests hold valid travel insurance.
Prices and Payment The organizer (customer) is responsible for any unpaid bills left by participants (bar, minibar, restaurant, room service, etc.). We strive to be a cashless business and encourage guests to use electronic payment methods, as this is the safest way to travel. We accept Mastercard, Visa, and American Express. If a customer wishes to pay in cash, only Norwegian kroner (NOK) are accepted. Checks and traveler's checks are not accepted.
We reserve the right to adjust prices due to increased costs of goods, services, taxes, fees, or other costs controlled by external parties. Any credit arrangements must be agreed upon and approved in advance. Our payment terms for credit are net 10 days. Payment details for our hotels and 62°NORD can be found in the table below and will also appear on any invoices issued.

Boat Trips and Other Activities All bookings, changes, and cancellations must be submitted in writing. 62°NORD reserves the right to change or cancel trips due to unforeseen issues with equipment or crew, as well as adverse weather conditions. When weather makes the originally planned route unsafe, 62°NORD reserves the right to cancel the trip on the advice of the boat operator. Alternatively, the boat operator may modify the route to ensure a safe and enjoyable experience for all participants. Route changes due to weather conditions do not constitute grounds for a refund or price reduction.
All participants are responsible for their own physical and mental condition, given the nature of these trips. Participants must at all times follow the instructions of the boat operator, who has full authority on the vessel. The operator has the right to deny participation to any person deemed a safety risk — whether due to health, physical condition, intoxication, or disruptive behavior toward other participants.
Personal items brought on boat trips — such as cameras, mobile phones, bags, jewelry, and glasses — are carried at the participant's own risk.
Late arrival may result in a shortened trip or missing the departure entirely. The full cost of the trip remains payable and no refunds will be given.
Cancellation of a confirmed activity must be made no later than 30 days before the agreed arrival date. If a confirmed activity is cancelled less than 30 days before the agreed arrival date, the full confirmed price will be charged.
Legal Matters For any dispute between parties that cannot be resolved without court proceedings, the place of jurisdiction is a Norwegian court, and its decision will be final.
Privacy Policy We reserve the right to make changes to the terms for individual events or periods — the hotel or contractor will provide information accordingly.
